How to handle property leads and close more deals

A lead is not a deal. Answer fast, check what the person really needs, agree fees in advance, and follow up until it closes.

By Meridian Estates. Updated

Getting a lead is only the start.

What you do in the first minutes and days decides whether that lead becomes a client or a wasted fare across town.

This guide works anywhere in Kenya. The examples come from Nairobi, but the principles are the same in Mombasa, Kisumu, Nakuru or anywhere else.

Step 1

Reply fast, speed wins the lead

When someone asks about a house, they are usually asking about several houses at the same time. The agent who replies first often gets the client.

Call or WhatsApp back as soon as you can. Even a short message like "I saw your enquiry, I will call you in 20 minutes" keeps the lead warm while you finish what you are doing.

Step 2

Qualify before you travel

Not every enquiry deserves a viewing trip. Before you spend time and transport money, ask a few simple questions on the phone or WhatsApp.

  • When do you want to move?
  • What is your budget per month?
  • Which areas work for you?
  • Who will be living in the house?
  • Have you viewed other houses already?

Step 3

Agree any fees before a viewing

Confirm that the home is still available and that it fits the person's budget before either of you travels.

If you charge a viewing fee, explain the amount, what it covers and any refund terms in writing before the visit. Do not present it as a landlord deposit or pressure someone to pay.

A fee does not prove that someone is serious, and paying one does not prove a listing is genuine. Share clear details and allow time for checks.

Step 4

Run the viewing like a professional

Do not be the agent who just opens the door and stands aside. A viewing is a skill.

Walk the client through the house. Point out the things that match what they told you: the water supply, the backup generator, the parking, the security. Answer questions before they ask them.

Step 5

Ask the closing question

After the viewing, ask directly: "From 1 to 10, how willing are you to move forward with this house?"

If they do not say 10, ask why. Their answer tells you exactly what to fix. Maybe the price, maybe the area, maybe the house itself.

Now you know what to show them next, instead of guessing.

Step 6

Follow up the next day, and keep records

Many deals are won in the follow up, not the first call. Send a short message the next day. Share a similar unit if the first one did not fit.

Keep a simple record of every lead: name, phone, budget, area, and where you left off. On Meridian Estates your account has a leads manager that does this for you, so no client slips through the cracks.

Show that you care

Clients can feel the difference between an agent who wants to help and one who only wants the commission. Listen to what they say. Remember their budget. Do not push a house that clearly does not fit them.

When you genuinely try to find the right house for someone, they trust you. Trusted agents get referrals, and referrals are the easiest deals you will ever close.
